Switching from Instantly to Norbelys: a practical migration guide
Moving off Instantly's Outreach + Leads + CRM stack? What maps to what, what to export first, and what genuinely changes on day one — grounded in real pricing.

Instantly is a good tool. Unlimited inboxes on every plan, a mature Unibox, warmup baked in — none of that is in dispute. What changes people’s minds is usually the bill: Outreach starts at $37.60/mo, and then Leads, CRM and Inbox Placement testing show up as separate line items until the “real” monthly cost lands somewhere around $150–400 for a working setup.
If that’s the reason you’re looking around, this guide is the practical version of the move — what to export, what maps to what, and what’s genuinely different once you’re sending from Norbelys instead. No hand-waving about “seamless migration”; here’s the actual checklist.
Before you touch anything: export first
Do this while your Instantly account is still fully active, in this order:
- Export every contact list and segment as CSV. Don’t rely on a live sync — a flat export you control is the only thing that can’t break mid-migration.
- Export your sequence copy. Subject lines, body variants, and any A/B splits you’re currently running. You’ll want the actual text, not a screenshot of performance.
- Pull your suppression / unsubscribe list separately. This is the one export people forget, and it’s the one that matters most — re-sending to someone who opted out is a compliance problem, not just an annoyance.
- Note your current mailbox connections (SMTP credentials or OAuth grants) — you’ll reconnect these fresh rather than transfer them.
- Screenshot or export your DNS records if Instantly’s onboarding had you add anything provider-specific, so you know what to clean up later.
Keep your Instantly subscription active until you’ve verified sends are landing correctly from the new setup — don’t cancel on day one.
What maps to what
| Instantly | Norbelys |
|---|---|
| Outreach campaigns | Campaigns |
| Unibox | Unified reply inbox |
| Leads / SuperSearch (separate product) | Not included — Norbelys doesn’t sell a lead-finder; bring your own list |
| CRM workspace (separate product) | Not a separate product — pipeline context lives with the contact record |
| Inbox Placement tests (add-on) | Deliverability monitoring, included |
| AI Reply Agent (credit-based) | Norbe AI operator, included |
| Network warmup | Email warmup, included |
The honest gap: Instantly’s Leads/SuperSearch product is a real prospecting data tool, and Norbelys doesn’t replace it — we’re a sending and deliverability platform, not a data provider. If your workflow depends on in-app lead sourcing, you’ll keep that piece of your stack (or a dedicated prospecting tool) and point it at Norbelys instead of Outreach.
Importing your Instantly campaigns
This is the one piece of “seamless” that’s actually true: the integrations
lane in Norbelys pulls leads from a connected campaign and tags them
instantly: <campaign name> automatically. That means you can enroll by
tag and rebuild your audiences without re-uploading a single CSV — the tag
is the bridge between “what Instantly called this list” and “what Norbelys
does with it now.”
What’s genuinely different on day one
| Feature | Norbelys | Instantly |
|---|---|---|
| Starting price (billed annually) | $29/mo | $37.60/mo (Growth) |
| Unlimited mailboxes | ✓ | ✓ |
| Warmup included | ✓ | ✓ |
| DMARC monitoring included | ✓ | — |
| Open tracking | Human-verified only | Standard pixel (counts Apple MPP, scanners) |
| Reputation auto-brake on bounce/complaint spikes | ✓ | — |
| In-app lead-finder / data product | — | Separate product, from $47/mo |
| Deliverability placement testing | Included | Add-on packs |
| Typical functional cost at agency scale | $239/mo flat (Scale) | ~$150–400/mo (Outreach + add-ons) |
A few of those deserve more than a table cell.
Open tracking is the biggest behavioral change you’ll notice. Instantly counts a pixel fire as an open — Apple’s Mail Privacy Protection prefetch, a corporate security scanner, an actual human, all logged the same way. Norbelys verifies each open and click as it happens and only counts humans, with the filtered noise itemized rather than hidden. Your open rate will almost certainly look lower after switching. That’s not a regression — roughly 40–60% of recorded opens industry-wide are machines, and a smaller number you can act on beats a bigger one you can’t.
Reputation handling stops being a dashboard you have to watch. If bounces or complaints spike on a mailbox, Norbelys slows or pauses sending from it automatically, before the damage compounds, and explains why. With a volume-first tool, catching that early is mostly on you.
The bill stops being modular. Instantly’s 2026 model treats Outreach as the base and prices Leads, CRM and Placement testing as separate products on the same dashboard. Norbelys’s pricing is one number — $29/$79/$239 per month annually across Starter, Growth and Scale — with analytics, DMARC, verification and the AI operator already inside. There’s no module shelf to assemble as you grow.
What doesn’t change
Your sending mechanics — SMTP or OAuth-connected mailboxes, sequence steps, A/B variants — carry over conceptually even though you’re rebuilding them in a new interface. If you’re moving from cold outreach concepts you already understand, what cold email actually is doesn’t change; only the tool underneath it does.
The migration checklist, start to finish
- Export contacts, sequence copy, and suppression list from Instantly separately
- Sign up for a Norbelys workspace and pick a plan that matches your current send volume
- Connect mailboxes fresh (SMTP or OAuth) — don’t try to transfer credentials directly
- Use the integrations lane to pull tagged leads from your connected Instantly campaigns
- Re-attach your suppression list before anything sends
- Run a small test batch and compare deliverability before scaling volume back up
- Keep Instantly active in parallel until you’ve verified sends are landing
- Cancel Instantly once verified — not before
Questions people actually ask before switching
Frequently asked questions
Will I lose my warmed-up mailbox reputation when I switch?
Mailbox and domain reputation live with your mail provider's own sending history, not with Instantly — reconnecting the same address to Norbelys doesn't reset that history. What does start over is Norbelys's own view of the mailbox, which is why we recommend running a short observation period before ramping back up to full campaign volume, the same way you would with any new sending tool.
Can I actually import my Instantly campaigns, or is that just marketing language?
You can import the leads. The integrations lane pulls contacts from a connected Instantly campaign and tags them instantly: <campaign name> automatically, so you enroll by tag instead of re-uploading CSVs. Sequence copy and A/B variant text still need to be re-entered, since that's not something Instantly exposes for automated transfer.
Should I cancel Instantly before or after I switch?
After. Keep your Instantly subscription active while you connect mailboxes, import contacts, and verify a small test batch is sending and landing correctly on Norbelys. Only cancel once you've confirmed the new setup works for your actual volume — running both in parallel for a short overlap costs less than a migration mistake.
Do I lose unlimited mailboxes moving from Instantly?
No. Norbelys includes unlimited connected mailboxes on every plan, the same as Instantly's Outreach tiers. What changes is what's bundled around those mailboxes — DMARC monitoring and human-verified analytics are included with Norbelys rather than sold as separate add-ons.
Will my reported open rate go up or down after switching?
Down, in almost every case — and that's the point. Norbelys filters Apple Mail Privacy Protection prefetches, Gmail image-proxy caching, and corporate security scanners out of the human open count instead of reporting every pixel fire as genuine interest. The number gets smaller and more trustworthy at the same time.
If the modular bill was the reason you started looking, the math above is the whole case. If unlimited inbox rotation at serious volume is your actual bottleneck, Instantly may still be the right tool — that’s a real, honest trade-off, not a reason to pretend otherwise.
